Registration:

All prices are in GBP (pounds sterling). Group discounts. We offer a group discount of 15% off the registration fee for 3-5 participants and 20% for 6 or more participants. All participants must register together and only one invoice/receipt will be issued. These discounts cannot be combined with any other discounted rate. The system will calculate the group discount automatically once you have selected more than 3 registrations.

Conference proceedings are supplied as part of the package on CD-ROM. You can choose to reserve a hard copy in advance at this special price. (Only available at this price when registering for the conference. To purchase only the proceedings, visit our bookshop)

Your registration fee includes a place for you at the Conference dinner. Participants are welcome to bring a guest to the conference dinner. The cost in Bogotá is:

Accommodation:
We have negotiated special rates for the nights of 17th and 18th  October at the following hotels. All bookings are made directly with the hotel. The ACI support team will be staying at the Hotel Ibis. Should there be a requirement for ground transport to the conference dinner, this hotel will be the pickup and drop off point. You can find more information about the hotels including their location in relation to the Conference Venue from the Practical Information page.

Note: There is a limited availability at each of the hotels so it is advisable to book well in advance

Option 1:

Ensuite accommodation for the nights of 17th and 18th October 2012 in Bogotá at the Hotel Ibis. We have negotiated group rates for a room from US$67.00 per night (plus applicable taxes). Details of how to book will be posted soon.

 

Option 2:

Ensuite accommodation for the nights of 17th and 18th October 2012 in Bogotá at the Hotel Continental. We have negotiated group rates for a room from US$150.00 per night (plus applicable taxes) Details of how to book will be posted soon.

 

 

 

Visa Applications: Visitors to Columbia must have a valid passport and may require a visa. We recommend that you check with your nearest Columbian Embassy. You may also find this page helpful. Please note that we are not able to provide visas but, once you have completed registration and paid in full, we can provide a letter confirming that you have registered and paid to attend the conference. Please read our Visa Information page and then complete the Information Form.

How to pay to pay
Fees are payable in advance. We accept payment by Visa, MasterCard.  We do not accept AMEX, Diners or Maestro cards. You can also pay by GBP cheque/bank draft or by bank transfer. You need to register to obtain an invoice or pay by credit/debit card. The invoice will provide all the information you need to pay by bank transfer. Payment deadlines

Earlybird fees must reach us no later than 18 August 2012.
To ensure publication of papers, author payments must reach us no later than 14 September 2012.
Other payments should reach us no later than 4 October 2012.
Registrations can still be made after this date, provided payment is received by credit/debit card at the time of booking.


Participants arriving at the conference without having pre-registered are welcome subject to availability. Payment will be required on arrival, and will be subject to a late registration surcharge of £100 on the relevant fee.

Changes and Amendments: Before finally submitting your registration, please check your order carefully as changes made to bookings after an invoice has been raised will be subject to an administration charge of £25 per change made. If you do notice that you have made a mistake please notify us by email so that we can help you before raising your invoice. All registration queries should be sent to Charl Walters

Cancellations: Please refer to cancellation terms and conditions.

Earlybird condition: In order to obtain the Earlybird rate, we must be in receipt of your full conference registration fee by the published Earlybird date. Although we endeavour to notify paper acceptance before this date, external factors may prevent this. In the event of an author subsequently failing to have a paper accepted for the conference, a refund can be made (cancellation charges apply).

Note to Authors: In order to have your paper published in the conference proceedings the final date for receipt of authors’ payment is 14 September 2012. Due to the large number of papers expected for this conference, the committee only allows an author to present one paper. Therefore if multiple papers are accepted for presentation different co-authors need to present each paper.
